Cancellations before 31st May 2021
7 day ‘Cooling Off Period’
You can cancel your booking in writing or by sending an email directly to the Property Team (info@manorvillages.co.uk) within 7 days of accepting your tenancy agreement.
If you decide to cancel your accommodation booking within these 7 days, there will be a £25 cancellation fee and as such £225 of your booking fee will be returned.
After the 7 day ‘Cooling Off Period’
If you decide to cancel your booking after the 7-day cooling off period, the below procedures will apply depending on your circumstances:
If you secure your accommodation and then for the above reason are no longer able to attend the affiliated University, official written evidence from the University (and/or UCAS/relevant VISA authorities) must be sent directly to the Property Team on the day of the results or decision being published. If sufficient evidence is provided, you will be eligible for release from the tenancy agreement and £250 of the booking fee will be refunded.
If you cancel before the 31st May 2021 then you have 2 options upon cancellation.
Option 1: You are eligible to be released from your tenancy upon request to the Property Team (info@manorvillages.co.uk), however, you will forfeit the £250 booking fee.
Option 2: If you can find a replacement tenant to take over your tenancy then you can receive a refund of your booking fee, minus a £25 fee. The replacement must be a student and match the preferences of the flat (e.g. female only flat). The replacement must sign a contract for the entire length of your tenancy and secure this with payment of the booking fee. Once a replacement is found, signs the contract and pays the booking fee you will be released from your tenancy agreement and we will return £225 of your booking fee.
Cancellations after 31st May 2021 (cancelling before tenancy starts)
24-hour ‘Cooling Off Period’
You can cancel your booking in writing or by sending an email directly to the Property Team (info@manorvillages.co.uk) within 24 hours of accepting your tenancy agreement.
If you decide to cancel your accommodation booking within these 24 hours, there will be a £25 cancellation fee and as such £225 of your booking fee will be returned.
After the 24-hour ‘Cooling Off Period’
If you decide to cancel your booking after the 24-hour cooling off period, the below procedures will apply depending on your circumstances:

Please note that your booking fee will be retained, and you will remain liable for all accommodation fees until a replacement person is found.
Cancellations on or after the tenancy start date
No ‘Cooling Off Period’
If you wish to cancel after your tenancy has started there is no cooling off period.
Should you wish to cancel, the below procedures will take place depending on your circumstances:
If you wish to leave the accommodation due to illness or any extenuating circumstances, this will be assessed on a case-by-case basis. The request to cancel must be made in writing or via email (info@manorvillages.co.uk) and any accompanying documentation must also be provided. Until a decision has been made, you will remain liable for all accommodation fees.
If you are granted a tenancy release, your deposit will not be returned to you.
If a tenancy release is not granted, normal cancellation policy applies (see below).
If you do not wish to live at Manor Villages for any other reason, you will be required to find a replacement person to take over your tenancy. The replacement person must be a student and match the preferences of the flat (e.g. female only flat). The replacement must sign a contract for the entire length of your tenancy and secure this with payment of the booking fee. Once a replacement is found, signs the contract and pays the booking fee you will be released from your tenancy and we will return your booking fee minus a £75 admin fee for the changeover (£175).
Upon checkout we will inspect your room and any deductions will be taken from the amount to be returned.
Please note that your booking fee will be retained, and you will remain liable for all accommodation fees until a replacement person is found.
Manor Villages COVID-19 Flexible Start Policy:
We understand that booking for September 2021 can be difficult given the uncertainty of COVID-19. If you are unable to start your course in September for one of the following reasons, we want to re-assure you that our Flexible Start Policy will protect you! If one of the reasons below applies to your circumstance, you are eligible to apply for a Flexible Start.
A Flexible Start will be a revised tenancy start date depending on your personal circumstances, and as such, this will be reviewed on a case-by-case basis with our directors.
1. Unable to travel to the UK or within the UK due to travel restrictions relating to Covid-19
Terms and Conditions:
We must receive your application for this via email (info@manorvillages.co.uk) 2 weeks before the start of your tenancy agreement. Please note that we will need to receive evidence that you are unable to travel to Manor Villages in time for the start of your original tenancy agreement.
2. University course has delayed the start date of my degree as a result of Covid-19
Terms and Conditions:
We must receive your application for this via email (info@manorvillages.co.uk) 2 weeks before the start of your tenancy agreement. Please note that we will need to receive evidence that your course has amended their start date for your academic year.
3. I am unable to start my University degree as I am displaying symptoms of Covid-19
Terms and Conditions:
We must receive your application for this via email (info@manorvillages.co.uk) 2 weeks before the start of your tenancy agreement. Please note that we will need to receive evidence from your medical authority which details that you are suspected to have Covid-19.

Administration Fee
Any amendments to tenancy agreements or guarantor documents are subject to a £75 administration fee, to be paid to Manor Villages before the amendment is completed.
